Information we collect
Depending on how you use the website, we may collect:
- Enquiry information — your name, email address, optional telephone number, subject and message when you use the contact form or contact us directly.
- Booking information — details needed to deal with room availability, booking requests, bookings, invoices and related administration. Online booking is provided through Hallmaster.
- Trustee account information — login and account details for authorised users of the private Trustee Area.
- Technical and security information — information such as IP address, browser information, date and time may appear in normal website or server security logs.
- Website usage information — if you choose to allow analytics, Google Analytics may collect information about how the website is used, such as pages viewed, device/browser information and approximate location.
How we use personal information
We use personal information only where we have a lawful reason to do so. This includes:
- responding to enquiries and taking steps requested by you before a booking;
- administering bookings and providing the venue or service you have requested;
- managing invoices, records and the administration of the charity;
- protecting the website, accounts and services from misuse or security threats;
- understanding website usage where analytics has been accepted.
The lawful bases we may rely on are performance of a contract or steps before entering a contract, legitimate interests in running and protecting the Community Centre, compliance with legal obligations, and consent where we ask for it, including optional analytics.
Contact forms
Messages sent through the website contact form are emailed to Kea Community Centre. The current website does not intentionally keep a separate copy of contact-form submissions in the WordPress database. The message will remain in the Centre’s email system for as long as it is reasonably needed to deal with the enquiry and any related administration.
Hallmaster bookings
Hallmaster provides the Centre’s online booking and calendar system. When you use Hallmaster, the information you enter is processed through Hallmaster so that the Centre can administer bookings and invoices. Hallmaster states that, when it holds venue users’ and booking data on behalf of a venue, it acts as a data processor.

Google Analytics
If Google Analytics is enabled on the website, it is not loaded until you accept analytics through the website’s cookie controls. We use analytics to understand overall website usage and improve the website. We do not use this website analytics setup for advertising or remarketing.

Who we share information with
We do not sell personal information. We may share information with service providers that help us run the website and Centre, including website/email hosting providers and Hallmaster, and with professional advisers, insurers, payment providers or public authorities where this is necessary or required by law.
If a service provider processes information outside the UK, we will use suppliers and safeguards intended to provide an appropriate level of protection for personal data.
How long we keep information
We keep personal information only for as long as it is needed for the purpose for which it was collected. Routine enquiries will normally be deleted when they are no longer needed. Records connected with bookings, payments, accounts or legal matters may be kept for longer, including up to six years where this is necessary for accounting, contractual or legal purposes.
Your data protection rights
Depending on the circumstances, you may have rights to ask for access to your personal information, correction of inaccurate information, deletion, restriction of processing, objection to processing, or transfer of information. Where we rely on your consent, you can withdraw it at any time.
